You can close your account at any time. GDPR right-to-erasure is taken seriously: we suspend immediately, delete what we're allowed to delete after a 30-day grace period, and keep only what HMRC's record-retention rules require.
Before you close — export your data
Settings → Data → Export all data kicks off an async export. We email you (and ping the bell) when it's ready — usually within an hour, depending on size. You get a single ZIP containing:
- JSON for every database row you own
- CSV for every major table — easier in Excel
- PDFs — every invoice you issued, every receipt PDF
- Receipt images — every scanned receipt, original quality
- HMRC submissions — every VAT, ITSA, RTI, CIS XML plus IRmark receipts
The download link is valid for 7 days, then expires (you can re-export anytime).
Closing the account
Settings → Delete account → Request deletion:
- Account suspended immediately — no one can log in.
- Confirmation email with a "Cancel deletion" link valid for 30 days.
- After 30 days, everything is deleted except the HMRC-retained records.
What we keep after deletion
HMRC requires retention for the statutory period (6 years from end of the relevant tax year). After your account is deleted:
- Submitted returns (VAT, ITSA, FPS, CIS300) — kept until the 6-year window expires, then purged.
- Invoices you issued — kept 6 years from the issue date.
- The audit row recording your deletion request — kept for legal record, personal data redacted.
Everything else (personal details, credentials, draft work) is deleted in full after the grace period.
Cancelling deletion
During the 30-day grace period, click "Cancel deletion" in the confirmation email, or use Settings → Cancel deletion. Account is restored immediately, no data loss.
